Chatbots work in one of two ways: as an older script bot that follows set buttons and keywords, or as an AI chatbot that reads the whole message and writes a reply. Both live in a chat window, and the good ones pass the conversation to a person when a question goes past what they cover.
Chatbots bring along other terms, such as prompt and knowledge base. Our plain-English AI glossary defines each one briefly.
What is a chatbot in AI?
A chatbot is software that holds a typed conversation with a customer in a chat window. Some follow a fixed script. Others use AI to read open questions and write fresh answers. The types of chatbots in AI differ less in looks than in what happens after someone presses send.
- Script bot. It offers buttons or watches for keywords, then follows a mapped path. It stays predictable, and it stalls when a question leaves the map.
- AI chatbot. It reads the whole message, tags the request and writes a reply. It handles odd wording well, and it needs approved facts to stay accurate.
Many business bots blend the two: buttons for common paths, AI for everything typed in free form.
How do chatbots work behind one message?
An AI chatbot handles each message in a short chain of steps. It reads the text, tags what is being asked, looks up approved information, writes a reply and logs the exchange. Each step can be checked, which is how a business keeps the bot accurate.
- Read. The bot takes in the whole message, typos and all. That reading is the job of natural language processing.
- Tag the ask. Is this about hours, a price quote, a complaint or something new? That answer sets the next step.
- Look it up. Good bots search approved facts first. NIST's glossary entry on retrieval-augmented generation (opens in a new tab) splits the setup in two: a model and its knowledge base.
- Write the reply. The model drafts an answer that follows hidden setup instructions, which NIST's glossary entry on system prompts (opens in a new tab) says the app's builder supplies.
- Log it. The full thread is saved so a person can review it later.
Writing those setup instructions well is the craft behind what prompt engineering is.
That chain also explains how conversational AI works on a voice line. Underneath sits a language model, which predicts likely next words from patterns in text.
Why do script bots frustrate people, and where do AI bots still slip?
Script bots frustrate people because they only follow the paths someone built. Ask anything off the map and they loop back to the same menu. AI bots cope with far more wording, but they can still sound sure while being wrong. So a person reviews what they say.
Our post on good chat versus bad chat on a website shows those loops from the customer's side. GAO's spotlight on generative AI (opens in a new tab) says the technology can make automated support replies more nuanced. Elsewhere it notes that people may need to edit its output.
An AI chatbot should not decide anything that matters, such as a refund or an unusual case. It can often reply in a customer's own language. Our guide to machine translation versus AI translation covers when someone fluent should check.
Say a party rental company gets a late-night chat. A customer asks whether a tent and tables can be set up by Friday. The chatbot finds the delivery policy and gathers the date, the guest count and the address. When the customer asks for a discount, the bot hands the thread to the rental manager, who decides in the morning.
How should a chatbot hand off to a person?
A chatbot should pass the conversation to a named person the moment a question falls outside its rules, with the whole thread attached. The customer should never have to repeat a word. It should also say up front that it is AI, and asking for a person should always work.
A chatbot only answers. An AI agent can also act inside your tools, such as holding a slot on the calendar. Our chatbot and agent comparison shows where each one fits.
Our Customer Agent runs web chat from your own answer book and schedules visits inside your rules. Anything new goes to a person on your team. The Customer Agent is one of the six in our AI Agent lineup, each fitted to how you already work.
Frequently asked questions
What is conversational AI?
Conversational AI is the broad name for software that holds a back-and-forth exchange in everyday language, typed or spoken. AI chatbots and voice lines both use it. It predicts a fitting reply from patterns, so it can sound natural without understanding the way a person does.
What types of chatbots are there?
There are two main types. Rule-based chatbots follow a script of buttons and keywords, and AI chatbots run on a language model that writes each reply. Plenty of business bots mix both, with fixed buttons for common paths and AI for open questions, and a person behind them.
How are AI chatbots trained?
An AI chatbot starts from a language model built on a large body of text, which teaches it how sentences usually go. The business then adds setup instructions and its own approved information, such as policies and service lists, so answers come from that material. A person keeps that information current.

Book a free workflow consult and bring the questions your customers ask most often. We will map how those chats move today and mark the point where a person should step in. We work from the Kansas City metro and meet owners face to face or by video call.
Our standards
- The examples in our guides are illustrations, not customer stories.
- Your AI runs on private and on-premise models, not public AI tools, and nothing you give us is used to train AI models.
- Agents are built so each action is logged in a record that shows any later edit.
- Every call and text opens with a short line saying it is the business's AI assistant, and asking for a person always works.
- Texts go only to people who contacted you or gave you permission, and every message says how to stop.
- If anyone may be hurt or in danger, the only instruction an agent gives is to call 911.
- Depending on the investment package you choose, you get either the right to use the software we build for you or full ownership of it.
- We work from the Kansas City metro and meet owners face to face or by video call.
- Same team. Same jobs. More capacity.
