Massage therapy scheduling software gives a solo therapist or small studio one place to take bookings, hold the intake form, track package and gift card balances and remind clients to come back. Today that work is often split across a booking link, a notes app and a spreadsheet of balances that never quite agree. One app keeps them in step.
This guide is for solo massage therapists and studios with a room or two. Phones are covered in our guide to an AI receptionist for salons and spas, and AI for small business shows where AI helps first. A multi-room day spa has a bigger puzzle, covered in spa management software.
What should massage therapy scheduling software handle?
Massage therapy scheduling software should handle online booking, the intake form, package and gift card balances, your cancellation rule and rebook reminders. Each piece should read from the same client card. Health answers on the form should reach only the therapist, while the front office side runs on its own.
The admin load is real. The BLS profile of massage therapists (opens in a new tab) notes that therapists, especially self-employed ones, spend time on marketing, booking clients and other business tasks on top of giving massages. Every one of those minutes comes out of the time you could spend at the table.
A small studio needs six pieces:
- Online booking. Your services, lengths and a buffer for linens and room reset.
- The intake form. Sent with each new booking and read before the first visit.
- Packages. Sessions bought, used and left on each client card.
- Gift cards. Balances and terms on a record, not in a drawer.
- Cancellation rules. The notice you ask for and what happens on a no-show.
- Rebook reminders. On the interval you choose for each client.
Why do the booking link and the balances drift apart?
The booking link and the balances drift apart because nothing connects them. A client books a session from a package, but the spreadsheet only changes when you remember to update it. Gift cards sit in a drawer or an email thread, and nobody can answer a balance question at nine at night.

The usual tools each leave a gap:
- Free massage online booking software. It takes bookings well, but packages and gift cards live somewhere else.
- General scheduling links. They know times, not intake forms or balances.
- Clinical charting systems. Built for health records, heavy for a studio that wants a clean front office.
- Spreadsheets. Package counts drift, and nothing shows who changed them.
The weak spot is always the handoff between the booking and the balance.
What we build: booking, balances and reminders on one client card
We build massage therapy booking software around your services and rules. Booking, the intake form, packages, gift cards and rebook reminders all read from one client card. You set every rule, the app applies it the same way each time, and you approve every exception.
Online booking
Clients pick a service and a time, and the app adds your buffer after each session. New clients get the intake form with their confirmation. A short waitlist can hear about a freed slot.
The intake form
The form collects contact details, the session booked and preferences such as pressure and room temperature. Any health answers go to the therapist alone and never to the AI or the front office view. The app keeps no clinical notes. The FTC's guide on consumer health information (opens in a new tab) says a business that collects health information may also need to follow the FTC Act and its breach notice rule, not only HIPAA. The app keeps those answers locked to the therapist either way; which rules apply to your studio is a question for your own adviser, not for us or the app.
Packages and gift cards
Packages count down by session on the client card. Gift cards are sold through your own processor, and the app records the balance and the terms you set. The CFPB's rule on gift cards (opens in a new tab) says the fees and expiration terms must be disclosed before purchase and cannot change afterward. A prepaid package may not count as a gift card under that rule, and states can add their own, so check your state's rules.
Cancellations and rebooking
Your cancellation rule shows at booking. Clients who agreed to texts get a rebook reminder on the interval you set for them, and any of them can opt out with one reply. Opt-outs are honored the way FCC rules require.
This is one of our small-business tools, with a simple login, a database and links to your processor and calendar. Depending on the investment package you choose, you get either the right to use the scheduling software for massage therapist work that we build or full ownership of it.
The Customer Agent sends those rebook reminders and answers package-balance questions by text, only for clients who agreed to texts, and each one can opt out at any time. Every text states plainly that your AI assistant sent it. Health questions always go to you.
This is an illustration, not a customer story. Hadley runs a one-room massage practice with a part-time second therapist. A regular finishes the last session of a package, and the app flags that the balance is now empty. A month later, on the interval Hadley set, the Customer Agent texts a rebook reminder, since this client agreed to texts and can opt out any time. The client asks to buy a new package and use a gift card. Hadley checks both balances, approves the sale and books the session herself.
How does the build run?
A studio build moves from paper to a trial month to a checklist. You approve the written spec first, covering services and buffers, the intake form, package and gift card rules, the cancellation rule and reminder wording. Then we pilot with your real bookings for a few weeks and connect your processor and calendar.
Before your first full month on it, we check these:
- Every booking adds the buffer, so two sessions never touch.
- Health answers on the form are visible only to the therapist.
- A package session reduces the balance by one, and a cancellation inside your notice window follows your rule.
- Gift card balances match the processor's records.
- A client who opts out gets no further texts.
Trainers who sell session packs face a similar count, as personal trainer scheduling software shows. For booking by phone, see the AI receptionist for massage therapists. Studios with provider-led services need med spa booking software instead.
What stays with the therapist?
The therapist keeps every session decision, every reading of a health answer and every exception to the cancellation rule. Refunds, package changes and prices stay with the owner. The therapist decides each session, and the app runs the front office only, while the AI drafts reminders and answers balance questions.
- Health questions from clients go to the therapist, never to the AI.
- Waiving a late-cancel charge is the owner's call.
- Selling or changing a package is approved by a person.
- Licensing rules vary, so check your state's rules.
Same team. Same jobs. More capacity.
Frequently asked questions
How do you run a massage business?
Run a massage business on a steady routine. Keep one booking calendar with buffers, send an intake form before first visits, write a clear cancellation rule, track packages and gift cards on each client and remind regulars to rebook. Keep records of income and costs, and take tax questions to an accountant.
How do you get massage clients to rebook?
Ask before the client leaves, and offer a time that fits their usual rhythm. For clients who agreed to texts, send one reminder on the interval you set, with an easy way to opt out. Packages help too, because a balance on the card is a reason to come back.
How do massage packages work with online booking?
A package is a set of prepaid sessions recorded on the client's card. When the client reserves a time online, the session comes off the balance, and the page shows what is left. A cancellation follows your rule, and the owner approves any change to the package.
What is a massage intake form?
A massage intake form is the short form a new client fills out before the first visit. It collects contact details, the session booked and preferences like pressure. Any health answers on it are read by the therapist alone, never by the front office or the AI.
Next step
Book a free workflow consult and bring your scheduling link, your intake form and the spreadsheet where you track packages. We will follow one month of sessions from booking to balance and show where one client card would keep them in step. We work from the Kansas City metro and meet owners face to face or by video call.
Our standards
- The examples in our guides are illustrations, not customer stories.
- Your AI runs on private and on-premise models, not public AI tools, and nothing you give us is used to train AI models.
- Agents are built so each action is logged in a record that shows any later edit.
- Every call and text opens with a short line saying it is the business's AI assistant, and asking for a person always works.
- Texts go only to people who contacted you or gave you permission, and every message says how to stop.
- If anyone may be hurt or in danger, the only instruction an agent gives is to call 911.
- Depending on the investment package you choose, you get either the right to use the software we build for you or full ownership of it.
- We work from the Kansas City metro and meet owners face to face or by video call.
- Same team. Same jobs. More capacity.
