A dealership BDC is the team that answers leads, sets sales and service appointments and keeps follow-up moving, and AI agents can take the repeat steps off its reps. The agents send first replies, work the overnight leads and log every touch. Your BDC reps keep the conversations that need a person, with notes waiting for them.

This guide is for BDC managers, general managers and dealer group leaders who run a business development center or are thinking about starting one. It covers the department view: who does what, how handoffs work, what a manager should track, and when a custom build makes sense. For where AI fits across the whole store, see our guide to AI for car dealerships. For the basics, read AI for small business.

What does a dealership BDC do?

A car dealership BDC handles the conversations that happen before a customer walks in. Its reps answer internet leads, return calls, set appointments for sales and service, and follow up with shoppers who went quiet. Many stores split it into a sales BDC and a service BDC, each aimed at appointments that show.

Many BDCs split the work two ways:

  • Sales BDC. Internet leads, phone ups, chats and unsold-showroom follow-up, all aimed at a booked appointment that shows.
  • Dealership service BDC. Service appointments, reminders, recall outreach in the manufacturer's own notice wording, and "your car is due" calls, aimed at a full and even service lane.

The BDC does not sell cars or write repair orders. It sets the table so salespeople and advisors spend their time with customers who are ready.

How AI agents work inside a dealership BDC

The AI agents take the steps that repeat all day, and your BDC reps take the conversations. Think of the agents as extra hands on the queue, not a separate team. They send first replies, work overnight leads, keep follow-up moving, log every touch and hand warm conversations to reps with notes.

Inside a working BDC, the agents can:

  • Send the first reply to every new lead right away, day or night, signed as the store's AI assistant.
  • Work overnight leads so the morning queue starts with booked appointments and answered questions.
  • Keep follow-up tasks moving on the schedule your BDC manager sets, and stop when a shopper says no or replies STOP.
  • Log every call, text and email in the dealership CRM with a short summary.
  • Hand a warm conversation to a BDC rep with notes: what the shopper asked, what was answered, what is still open.

For the reply rules on a single lead, see our guide to car dealership lead follow up. For how calls get sorted on the main line, see the AI receptionist for car dealerships.

Who keeps which conversation?

Your BDC manager decides, and the AI agents follow the rule every time. A clear handoff rule is what makes an AI BDC work. Agents keep first replies, confirmations and logging, reps take anything unusual or frustrated, and sales managers take every price and trade question.

A common split:

  • AI agents keep: first replies, appointment confirmations, reminders, simple questions answered from listings and calendars, and the logging.
  • Reps take over: any shopper who asks a second question the agents cannot answer from records, any appointment with an unusual request, anyone who sounds frustrated, and anyone who asks for a person.
  • Sales managers take: every price, payment, rate and trade question. The AI agents never quote numbers or say a shopper is approved for anything.

When a rep takes over, the thread moves to their queue with the full history. The shopper never repeats themselves.

What should a BDC manager's scorecard show?

Counts, not promises. A good scorecard shows what happened yesterday and this week, so the manager can coach. That means leads answered by source, time to first reply, appointments set and shown, handoff speed and opt-outs, pulled into one view from the CRM and phones.

Useful measures for a dealership BDC department:

  • Leads received and leads answered, by source.
  • Time to first reply, by hour of day.
  • Appointments set, confirmed and shown, for sales and service.
  • Conversations handed to reps, and how fast reps picked them up.
  • Opt-outs, so the manager can see if follow-up is too pushy.

Pull these from the CRM and phone system into one view instead of four reports. Our guide to business dashboard software explains how that view gets built.

When does a dealership need a custom build?

When the tools you have make your BDC work their way instead of yours. Off-the-shelf tools come with fixed queues, fixed handoffs and fixed reports; a build fits the rules your BDC manager already uses. A build plugs into the systems your BDC already runs on, with agents doing the repetitive steps.

We would build an AI BDC for car dealerships as part of our multi-feature platforms and AI agents: agents that work leads and follow-up across your CRM, phones and texting, hand conversations to reps by your rules, and feed a manager's dashboard. The agents plug into the systems your BDC already runs on; they handle the repetitive steps, and your reps and managers make the calls. Our guide to custom AI agents shows what a build like this includes, and custom AI development covers the wider options.

Depending on the investment package you choose, you get either the right to use the software we build for you or full ownership of it. Your customer data and your logins stay yours. The build follows the process in our guide on how we build software with AI: a written spec first, features built in parallel, separate AI reviewers, machine checks, and a walkthrough with you.

On data, each AI agent gets only the access its job needs, following the principle of least privilege (opens in a new tab), every action is logged in a record that shows any later edit, and the AI runs on private and on-premise models, not public AI tools. Nothing is used to train AI models, and customer data is never sold. The FTC Safeguards Rule (opens in a new tab) covers most dealers that finance or lease cars and requires a written information security program. Texts and automated calls go only to people with the consent your store's counsel requires, that consent is logged, and STOP works. Under the FCC's rules (opens in a new tab), people can opt out of automated calls or texts at any time and in any reasonable way, even if they agreed before.

What stays with your BDC reps and managers?

Your BDC reps and managers keep every conversation a shopper wants with a person, every number a shopper hears, and every call about credit, holds, service diagnosis and team coaching. The AI agents are help for your reps, never a substitute for them.

  • Every conversation a shopper wants to have with a person.
  • Every price, payment, rate, term and trade value, which sales managers give.
  • Credit and financing, which stay with your F&I team.
  • Whether a vehicle is set aside for a shopper; the AI agents only say what is listed as of now.
  • Service diagnosis, repair prices and coverage questions, which go to advisors.
  • Coaching, schedules and pay plans for the team.

Same team, more capacity. Reps spend their shift on the conversations that need them.

One BDC for a Kansas City dealer group

Many Kansas City dealer groups run stores on both sides of the metro, from Johnson County to the Northland and out east toward Lee's Summit. A shared BDC can serve all of them from one room, if the rules are clear.

The AI agents route each lead to the right store's calendar by the vehicle and location the shopper asked about. They keep each store's hours, its own service limits and its own sales calendar straight. When a shopper in Olathe asks about a car at a store across State Line, the reply names the right store and books there. The BDC manager sees one queue and one scorecard, broken out by store.

We can sit with your BDC for a shift to see how the queue really moves.

A shift in a shared BDC

This is an illustration, not a customer story. Picture Tallgrass Auto Group, with three stores and a shared BDC of five reps run by a manager named Zara.

Overnight, the AI agents answer every new lead, book a handful of test drives and service visits, and leave notes on the rest. At 8 a.m., Zara's reps open a queue sorted by what each conversation needs. One shopper asked about a trade value; that goes to a sales manager. Another wants a Saturday test drive at the store farthest from home; a rep calls to confirm. The agents keep confirmations and reminders going all day while reps work the conversations.

At the end of the week, Zara's scorecard shows leads answered, appointments set and shown, by store. She uses it to coach, not to guess.

Frequently asked questions

What is a BDC at a car dealership?

It is the business development center: a team that answers leads, makes and returns calls, and sets appointments for sales and service. It keeps follow-up moving so salespeople and advisors can focus on the customers in front of them.

What does a BDC agent do at a car dealership?

A BDC agent, often called a BDC rep, answers leads by phone, text and email, sets appointments, confirms them and follows up with shoppers who went quiet. AI agents can take the repeat steps so the rep spends more time on real conversations.

What does BDC stand for in a dealership?

BDC stands for business development center. Some stores call it the internet department or the appointment center. Either way, it is the team that answers leads and sets appointments for sales and service.

What is an AI BDC?

An AI BDC uses AI agents to handle first replies, follow-up tasks, confirmations and logging inside a dealership's BDC. People still own the conversations that need judgment and every number a shopper hears.
