AI Receptionist Cost: What Sets the Price and a Fair Quote

AI receptionist cost depends on call volume, hours, booking and the tools it connects to. Here is what drives the price and what a fair quote includes.

AI receptionist cost depends on how much of the phone job you hand over: how many calls and texts come in, which hours it covers, and whether it books appointments or only takes messages. A narrow after-hours setup costs far less than one that books jobs across several tools. An honest quote shows each part on its own line, so you can see what you are paying for.

This guide is for small business owners who are comparing quotes, or wondering whether an AI receptionist is worth a look at all. It covers what drives the price, setup versus ongoing care, what a fair quote includes, the fees to ask about and how to weigh it against what you do now. To see what the receptionist itself does, start with what an AI receptionist covers for a Kansas City office.

How much does an AI receptionist cost for a small business?

It depends on the job you give it, so an honest price comes only after someone looks at your calls. A setup that answers questions after hours costs less than one that books and texts across your tools all day.

That is why you will not find a number on our site. Two businesses with the same call volume can need very different setups. A dental office that books cleanings needs calendar rules, reminders and careful limits around patient records. A roofer may need storm-season overflow and a strict emergency rule, and little else. Our Pricing page explains how we build a quote, and our guide to what AI costs a small business covers the cost drivers every build shares. If you are pricing more than the phones, see how much an AI agent costs.

What drives the price up or down?

Six things move the price the most: volume, hours, booking, connections, languages and custom rules. The more of the phone job you hand over, the more setup and care it needs. A message-only, after-hours setup sits at the low end, and full booking across several tools sits at the high end.

  • Call and text volume. More conversations mean more usage, and usage is usually part of the monthly cost.
  • Hours covered. Nights and weekends only is a smaller job than covering every hour, including daytime overflow.
  • Booking or messages. A clean message is the simplest setup. Booking on your real calendar means teaching it your rules for job types, job length, travel and who does what.
  • Connections. One calendar is simpler than a calendar, a CRM, a text line and a job system that all need to agree.
  • Languages. A second language means a second set of approved answers to write and test.
  • Custom rules. Emergency alerts, on-call schedules, service-area checks and special handling for certain callers all take time to set up and prove.

Setup work vs ongoing care

An AI receptionist has two kinds of cost, setup work and ongoing care, and a good quote keeps them apart. Setup is the one-time work of mapping calls, writing answers, connecting tools and testing. Ongoing care covers hosting, monitoring, AI usage and changes as your business changes.

Setup is the one-time work. It covers mapping the calls you get, writing the answers you approve, connecting your calendar, phone and text line, setting the handoff rules and testing with practice calls before anyone relies on it. Most of the value is made here.

Ongoing care keeps it working. Because a receptionist answers calls every day, it always has running costs: hosting, monitoring and the AI usage itself. Care also covers changes as your business changes, like new hours, a new service or an update to your published prices. With us, that care is one monthly line that you can cancel at the end of any month.

What should a fair quote include?

A fair quote names every piece of work and every ongoing charge, so nothing shows up later as a surprise. If a quote is one number with nothing under it, ask for the lines. It should also say what always reaches a person.

  • The setup work by name: call mapping, answers, connections, rules and testing.
  • What the monthly charge covers, and how it changes with volume.
  • Who updates answers and rules after launch, and how you ask for a change.
  • The handoff rules in writing, so you know what always reaches a person.
  • Call and text records you can read at any time.
  • How texting permission and opt-outs work. Only text people who contacted you or gave you permission, as the FCC's rules on automated texts (opens in a new tab) require, and make opting out easy.
  • Who has admin access, and how backups work. The SBA's cybersecurity advice (opens in a new tab) suggests giving admin access only to trusted staff and backing up data regularly.
  • What happens if you stop. Your data, your records and your logins stay yours.

Which fees should you ask about?

Ask about anything billed outside the main monthly charge. Surprises usually hide in usage, changes after launch and new connections. Extra phone numbers, support outside business hours and how you get your records out if you cancel belong on the list too.

  • Usage above what the plan includes, and whether you get a heads-up first
  • Extra phone numbers or text lines
  • Changes to answers, rules or hours after launch
  • New connections, such as adding your CRM later
  • Support outside business hours
  • Cancellation terms, and how you get your records out

How do you weigh it against missed calls or a part-time hire?

Compare it with what you have now, not with nothing. That means the jobs you lose to missed calls today, and what a part-time person could and could not cover. Many owners end up using both, with a person at the desk and AI on evenings and weekends.

Start with your own phone records. Count the calls that went unanswered last month, especially after hours, and think about what one booked job is worth to you. Our guide on how to track missed calls shows how to find that number. For what the receptionist does on each call, see our guide to an AI receptionist for small business, and for where it fits among other AI, our guide to AI for small business.

A part-time hire and an AI receptionist do different jobs. A person can greet walk-ins, calm a worried caller and handle a dozen other tasks. They also work set hours and can take only one call at a time. Many owners use both: the person runs the desk, and the AI covers evenings, weekends and rushes.

This is an illustration, not a customer story. A carpet cleaning company in Olathe is weighing a part-time phone person against an AI receptionist. The owner pulls her phone records and sees that most missed calls come after six and on Saturdays, when a part-timer would not be working anyway. She starts the AI on evenings and weekends, keeps her office manager on the daytime phones and checks the jobs booked in those hours each month. If daytime calls keep growing, a part-time hire is still on the table.

What you still want a person for

  • Quoting work that is not on your price list, and any discount or refund
  • Taking payments
  • Calming an upset customer
  • Anything involving an injury, a danger or an emergency. If anyone may be hurt or in danger, the only instruction the AI gives is to call 911, and it alerts your on-call person at once.
  • Committing to dates, outcomes or warranties
  • The odd call that fits no rule

A cheaper setup that skips these handoffs is not a saving. Same team. Same jobs. More capacity. The receptionist we set up is our Customer Agent: it answers calls and texts, books visits on your real calendar and pages your on-call person when a call is urgent.

If website chat and email need covering too, what AI customer service costs shows how each added channel changes a quote.

Frequently asked questions

Can you give me a ballpark over the phone?

Not an honest one. We would be guessing at your call volume, your hours and the tools it has to connect to. After a free workflow consult, you get a written quote with each part on its own line.

Is a cheaper AI receptionist the same thing?

Not always. Some low-cost tools only take messages, or answer from whatever is on your website instead of answers you approved. Compare what each one does on a real call, not just the monthly charge.

Will the cost go up in a busy season?

It can, if part of the monthly cost follows call volume. Ask how usage is counted, whether there is a cap and whether you get a heads-up before a busy month changes the bill.

What happens to the cost if we stop?

The ongoing charges stop. With us, the care plan can be cancelled at the end of any month, and your data, records and logins stay yours.

How much does an AI receptionist cost per month?

It depends on your call and text volume, the hours it covers, how many calendars and tools it connects to, and how much care you want after launch. Setup is often a separate one-time line. Ask for a written quote that shows each part on its own line.

Next step

Book a free workflow consult. We will look at your call volume, the hours you need covered, the tools it would connect to and what should always reach a person. Then you get a written quote with each part on its own line, so you can decide with clear numbers in front of you.
