Auto Detailing Scheduling Software for Mobile Detailers

Auto detailing scheduling software that books by package and vehicle size, asks about pet hair and stains, and checks water and power for mobile visits.

Good auto detailing scheduling software books the right amount of time for the right car: it asks the vehicle size, the package and the condition before it offers a slot. For mobile work it also checks the address for water, power and room to work, so your detailer does not pull up to a third-floor parking deck with no hose.

This post is for detail shop owners and mobile operators who are tired of bookings that look simple and turn into a five-hour interior. It covers the questions a booking should ask, how time gets sized, how mobile and weather fit in, and where coating jobs need a person. If you want help writing the price side, our post on auto detailing quotes goes deeper on that.

What should a detailing booking ask before the appointment?

Ask what changes the time, the tools or the price, and nothing more. A booking form that asks ten questions loses people; one that asks four good ones saves your whole day. Vehicle size, package, condition, a few photos and the location cover most of it.

The questions that matter most:

  • Vehicle size. Coupe, sedan, small SUV, full-size truck, third-row SUV, van. A full-size SUV takes far longer than a compact car.
  • Package. Exterior wash and wax, interior only, full detail, paint correction, or a coating consult.
  • Condition. Pet hair, kid spills, stains on cloth seats, smoke smell, sand, mold. Each of these can add real time.
  • Photos. A few pictures of the seats and paint help your team see what they are walking into.
  • Where. At the shop, or a mobile address.

For mobile jobs, add three more: is there an outdoor water tap, is there a power outlet within reach, and is there shade or a garage. If the customer does not know, the booking can note it and your team brings the water tank and generator.

How does auto detailing scheduling software size the time slot?

It uses your durations, not its own. You decide how long each package takes for each vehicle size, plus the extra time for heavy pet hair or stains, and the software adds it up. It then offers only slots where that full block fits with the right detailer.

A simple setup looks like this:

  1. You build a small grid: packages down one side, vehicle sizes across the top, with your time in each box.
  2. You add condition add-ons: heavy pet hair, deep stain work, odor treatment.
  3. The booking adds the base time and the add-ons, then adds drive time for mobile jobs.
  4. It offers only the slots where that full block fits, with the right detailer.

That last step is where general booking tools fall short. They offer a one-hour slot for everything, and your Saturday falls apart by ten. Our post on AI appointment scheduling covers booking rules in general; for detailing, the grid is the whole game.

We can set up the Customer Agent to run your detailing bookings by text, chat and phone: ask the vehicle size and condition, request a couple of seat photos, size the slot from your grid and book it on your real calendar. It is one of the six Starter Upgrades, so you can start with booking alone.

Mobile visits: water, power, shade and the forecast

Mobile detailing lives and dies on the address. A booking that only asks for a street address leaves out half of what your detailer needs. Each mobile booking should note water, power, space, access and keys, and your team decides when the forecast calls for a reschedule.

Useful notes for every mobile job:

  • Water. Outdoor tap, or bring the tank.
  • Power. Outlet within reach, or bring the generator.
  • Space. Driveway, street, apartment lot, office garage. Some lots and HOAs do not allow washing; the customer should check.
  • Access. Gate codes, where to park the rig, which spot the car is in.
  • Keys. Will someone be home, or will the keys be left somewhere safe?

Then there is weather. Rain, high wind and hard sun all affect exterior work and coatings. Your team decides when the forecast calls for a reschedule. Once they do, the AI can text each affected customer the open slots you approved and move the booking when they pick one. Only text people who contacted you or gave you permission, and make opting out easy, in line with the FCC's rules on automated texts (opens in a new tab).

When does a ceramic coating booking need a person?

Almost always before the work is booked. Coatings are a bigger spend, and the paint condition decides how much correction comes first, so a person should look at the car or the photos. The AI collects paint photos and books a consult with your coating lead.

A good flow sends coating requests to a consult, not straight to the calendar:

  • The AI collects the vehicle, its age and how it is stored, plus photos of the paint in daylight.
  • It books a short consult with your coating lead, in person or on a video call.
  • Your lead decides the prep, the product level and the price.
  • Once the customer agrees, the AI books the multi-day block and sends care instructions you wrote.

The AI never says what level of correction a car needs, and it never promises a result. Those words come from your lead.

What stays with you and your detailers

Prices and discounts, judgment on a car's condition, complaints and damage questions stay with you and your detailers. The AI handles the questions, the slot math and the reminders, and when photos show something unusual, it flags the request for a person instead of booking it.

  • Prices and discounts, including whether heavy pet hair costs extra this time.
  • Judgment on condition. If photos show something unusual, like mold or a biohazard, the AI flags it for you and does not book.
  • Complaints. A customer unhappy with a missed spot reaches you, with the booking and photos attached.
  • Damage questions. A scratch someone thinks is new goes to the owner right away.
  • Anything unusual. Fleet work, dealer lots, a wedding car that must be ready by noon.

Same team. Same jobs. More capacity. Your detailers keep their hands on the cars, and the inbox stops pulling them off the work.

A Saturday that books itself the right way

This is an illustration, not a customer story.

On Thursday evening, a customer texts asking for a full detail on Saturday. The AI says hello, notes it is an AI, and asks the vehicle size. It is a third-row SUV. It asks about condition, and the customer mentions two dogs and a juice stain. It asks for two photos of the back seats.

The photos show heavy hair. The AI adds the pet hair time from the grid. It asks if this is at the shop or mobile; mobile, at a house. It asks about a tap and an outlet. There is a tap, but no outlet nearby, so it notes "bring generator." Saturday morning has a slot that fits the full block plus drive time, so it books it and sends a confirmation.

Friday, the forecast shows rain. The owner decides interiors can still run in the garage, and the customer has one. The booking stays. A reminder goes out Friday evening with the arrival window. Earlier that week, a different customer asked about a coating; the AI sent them to the owner's consult slot instead of the calendar.

Frequently asked questions

Can customers see real auto detailing availability online?

Yes. Many customers want to pick a time without a phone call. The AI shows only slots where the full job fits, based on your grid and your detailers' calendars.

Does this work with the auto detailing software we already use?

Often it does. We connect to the booking tool or calendar you already run, so jobs land in the same place your team checks. If your tool cannot hold the rules you need, we talk through options in the consult.

What if a customer picks the wrong vehicle size?

It happens. The photos help, and your detailer can adjust on arrival. Any change to the price is a conversation between your team and the customer, not the AI.

Can it send reminders and ask for reviews after?

Yes. It can send a reminder the day before and a short thank-you after. Every customer gets the same review request on the same schedule, as the FTC's guidance on review requests (opens in a new tab) advises. If someone raises a problem, a person handles it, and the request still goes out as normal. Our post on automated appointment reminders covers timing.
